How To Add and Manage Pre Order Product

About Pre-Order

Pre Order (PO) is a system that allows buyers to order and pay for the product in advance and the product will be sent by the merchant according to the time duration determined by the merchant. This feature will make it easier for merchants who sell custom products or other products that require a long processing time such as handicraft products, food, and so on.


At GoStore, merchants can arrange pre-orders for up to 90 days (including Saturdays, Sundays and national holidays). To find out the simulation of product delivery by pre-ordering in the following article.

How to Add Pre-Order Products

You can follow these steps:

  1. Open the Moka backoffice page, press the LIBRARY menu and select Library Items.
  2. Click on the Create Items button.
  3. Upload a photo, enter the product name, description, and don't forget to activate (ON) the PRODUCT ATTRIBUTE toggle.
  4. In the Pre Order column check "Yes".
  5. Enter the number of days in the Processing Days column to set the delivery schedule for Pre Order products.
    Note: Processing Days are counted from the time you start receiving orders and you can set the time from 1- 90 days (Saturdays, Sundays and holidays count).

  6. After all the products are filled in, click Save.

To change the previously uploaded product into a Pre Order product, please follow step 1, select the item you want to convert into a Pre Order, then follow steps 2-6 above.

How to Change Pre-Order Product Schedule

Follow these steps to change the pre-order product schedule that you have previously made.

  1. Open the LIBRARY menu in the backoffice, select Item Library, then select the item you want to change.
  2. If you have changed the schedule for the day, click Save to save the changes.

Note: The Pre Order schedule cannot be changed on orders that have been entered and are being processed.

How to Process Pre-Order Product

Before you can accept pre-ordered orders, you need to update the Moka app with version 16.9 and above. The steps are the same as steps 1-6 regarding How to Receive GoStore Orders Using Moka App. If you click "Accept Order" on the pre-order order via the Moka application, your next step is to process the Pre-Order product according to the Pre-Order time schedule. Follow these steps when the product is ready to be picked up by the courier:

  1. Open the Moka application, select ONLINE ORDERS. Select the order you want to process, click Request Pickup then press Confirm Pickup. Then the system will immediately find a courier who will pick up your product.
    The terms of the order pick-up deadline can be seen in the article regarding the Terms and Conditions of Order Expiration Time Limit.
  2. You can monitor delivery of orders via Delivery Details. If the order has arrived at the customer's hand and the order status becomes Order Completed, then the delivery process has been completed. Sales funds will be forwarded to you a maximum of 2 working days after the Order Completed status.

The following simulation is based on the maximum time limit for accepting and picking up orders. This simulation is made based on the hours of receipt of orders and the type of courier selected by the customer. Pay attention to the maximum time limit.

Simulation 1: Merchants receive pre-orders before 15.00 on weekdays (Monday-Friday)

Orders entered and received by merchants on Monday, April 11 at 13.00. Pre-order product schedule is 5 days.

  • The maximum time limit for merchants to accept orders is 1x24 hours, namely on Tuesday, April 12 at 13.00.
    • GoSend Instant → Tuesday, April 12 at 13.00
    • GoSend Same Day → Tuesday, April 12 at 13.00
    • Regular → Tuesday, April 12 at 13.00
  • In accordance with the terms of the request pick up time limit, the merchant must make a maximum order pick up request on: 
    • GoSend Instant → Sunday, April 17 at 16.00
    • GoSend Same Day → Sunday, April 17 at 15.00
    • Regular → Monday, April 18 at 13.00

Note: If the product is not processed within the maximum time, the system will cancel the product order.

Simulation 2: Merchants receive pre-orders on Fridays after 15.00 (past holidays)

Orders entered and received by merchants on Friday, April 16 at 18.00.

  • The maximum time limit for merchants to receive orders received after 15.00 varies according to the type of courier, as follows:
    • GoSend Instant → Monday, April 19 at 18.00
    • GoSend Same Day → Monday, April 19 at 15.00
    • Regular → Monday, April 19 at 18.00
  • In accordance with the terms of the request pick up time limit, the merchant must make a maximum order pick up request on:
    • GoSend Instant → Saturday, April 24 at 18.00
    • GoSend Same Day → Saturday, April 24 at 15.00
    • Regular → Sunday, April 25 at 18:00

Note: If the product is not processed within the maximum time, the system will cancel the product order.

Frequently Asked Questions (FAQ)

  1. Q: Pre Order system is set per-store or per-item?
    A: Pre Order is set per product. You need to set each PO schedule in the Item Library.

  2. Q: What if the merchant doesn't make a pick up request on the last day of the Pre Order schedule?
    A: If the product is not processed on the last day of the Pre Order schedule, the system will cancel the order. To anticipate this, pay attention to the product pick-up schedule.

  3. Q: Can the customer check out two (2) pre-order items with different schedules?
    A: Can't. The GoStore system will automatically provide information to customers if the product cannot be processed simultaneously. Customers must check out the products one by one.

  4. Q: For example, the Pre Order schedule is 90 days but the product is finished on the 10th day, can the merchant send the product earlier than the pre-order schedule?
    A: Yes, merchants can request pick up ahead of schedule if the product is ready to be shipped.

  5. Q: Can merchants extend the Pre Order schedule?
    A: Yes you can, but schedule changes can only be made for products that are not being processed.

  6. Q: If there are 2 Pre Order products with 2 invoices from the same recipient, can the merchant process them in 1 order with 1 delivery receipt?
    A: No, you can not. You still have to send these products one by one with different receipts (even though the processing schedule is the same) because the invoices are different.
