Lesson 3: Input Library in Backoffice
After completing your Moka account according to Lesson 2: Complete Your Moka Account, this lesson will help input Library in backoffice for your business.
In the Library menu, you can enter a list of sales items that will appear in the Moka Application, set promos or discounts, apply taxes or additional fees, and determine the types of sales available in your business.

How to Input Item Library Manually
Library is a page in Moka bacoffice for creating items that will appear in the Moka App. You can also track items or ingredients stocks on this page. If you have more than 50 types of items to sell, see How to Create List of Items Using Excel.
To input item library manually, watch the video tutorial or follow the steps below:
- In the backoffice menu, go to LIBRARY, then select Item Library.
- Click Create Item.
- Enter the name of the item, the name of the item category, and a photo of the item (if any) to be displayed in the Moka App.
- Notes: Ensure that every item name is unique. If the item category has never been created before, you can write the name of the category directly in the Item Category field, then click Create New.
- Enter the price (in Rupiah) in the Price column and the barcode number (if applicable) in the SKU (Stock Keeping Unit) column.
- Click Add Variant if you have more than one variation of the same item (example: Chicken Fried Rice, Beef Fried Rice, Seafood Fried Rice).
- Click Add Variant to add item variations and the variation’s prices in a new field.
- To track inventory, click Start Tracking Item Inventory and Alerts.
- Enter your current stock amount in the In Stock column and at what amount you want to be alerted that your stuck is running out in the Alert at field.
- To track the cost of goods sold (COGS), click Start Tracking Cost of Goods Sold (COGS).
- Check the Track COGS box and enter the average cost for the items in the Avg Cost field.
- Select the relevant Modifier (for example: Boba, Grass Jelly, Extra Syrup) for the item.
- Enter the item note in the Description column.
- Click Save or Save to All Outlets.

How to Create Modifiers and Variants
To distinguish between Modifier and Variant, see the table below:

How to Create Modifiers
- In the backoffice menu, go to LIBRARY, then select Modifiers.
- Click Create Modifier.
- Enter the modifier name (example: Topping).
- Click Add or Manage Options, then click Add Options.
- Fill in the name and price of the modifier (example: Pearl, Rp. 5000), then click Save.
- When you have finished filling, click Save or Save to All Outlets.
How to Create Variants
To make an item’s variant, you need to create it through the Item Library page in Create Item.
How to Change Item Categories
You can create item categories via the Categories page. To set them, follow these steps:
- In the backoffice menu, go to LIBRARY, then select Categories.
- Select the category you want to change.
- Change the name of the category on the CATEGORY field.
- Click Save.
How to Create Promos and Discounts
Moka POS facilitates you to create various types of promos according to your needs, such as:
- Percentage discount (%)
- Nominal Discount (Rp)
- Free Item Discount
To make promos and discounts, follow these steps:
How to Create Promo
- In the backoffice menu, go to LIBRARY, then select Promo.
- Click Create Promo.
- Select the promo type and name settings.
- If you want to set a percentage and nominal promo, select the Discount per Item promo type on PROMO INFORMATION
- If you want to set a free item promo, select the Free Item promo type on PROMO INFORMATION
- Fill in the promo name, and select an outlet that will be assigned
- Choose the Sales Type* that this promo will apply. This feature will help you to implement more specific promos based on the type of sale that can be dine-in. take away, and other modes. There are two options:
- All Sales Type: To apply promos to all types of sales that have been registered with the outlet
- Specific Sales Type: To determine the type of sales only applied to the promo
Once you're done, click Next.
*To use this feature, you need to register the type of sale first. If not, then this feature will be in disabled mode. Learn how to register a Sales Type here.
- In the PURCHASE REQUIREMENT section, set the shopping requirements, what items the customer must buy to get the promo. for example: if a customer buys item A, then he will get a promo. Shopping requirements can be item-specific or you can choose items from certain categories
- Select Item and choose what item that the customers need to buy. Set the variant if there is any specific item. If there is not, you can set it into All Variant.
- You can add more items in this section by clicking Add Item. Set "OR" relation if you have option for the purchase requirement or "AND" for multiple requirements. After all set, click Next. Fill in the quantity on how many items the customers need to buy and after all set, click Next.

Set the reward that the customers can get. You can create free item or discount for reward.

To set a free item as a reward, select Free Item then choose the item you want to set as a reward and fill in the quantity on how many item the customers can get. Choose the variant if there is any specific item. If there is not, you can set into All Variant.

You can have single or multiple free items for reward by clicking Add Item button to add more rewards. Set "OR" relation if you have reward option or "AND" for multiple rewards. After all set, click Next.
- For discount, you can set into % discount or Rp discount for reward. Choose Discount then set discount value that customers can get. After all set, click Next.

- In the PURCHASE REQUIREMENT section, select the type of purchase conditions to be eligible for the promo:
- If items eligible for promo are specific for a certain variant, select that variant, for example Iced Green Tea. If not specific to a variant, select All Variant.
- If there are additional requirements for promo eligibility, click Add Item
- OR: buy either one promo-eligible item to get a promo
- AND: must buy both promo-eligible items to get a promo
- Item: customer needs to buy certain items in order to get a promo, for example promo applies only when customer purchases Iced Tea.
- Any item from a category: Need to buy any item from a certain category in order to get a promo, for example any type in the Beverage category.

Set the promo configuration.

You can set if the promo will be applied to multiple order or not.
- If you check Applies in multiple checkbox, the ongoing promo will be applied to multiple order. For example, you set the promo “buy 1 get 1”, the customer who buy 2 will get 2.
- If you uncheck it, then the ongoing promo will be not applied to the multiple order. For example, you set the promo “buy 1 get 1”, the customers who buy 3 items promo will only get 1 free item.

Set promo time period, when the promo will be activated by selecting the date, hour and day. You can also schedule the promo for future plan. Check Set promo time period checkbox to fill in.

- Click Create.
How to Create Discounts
- Login to backoffice Moka.
- Go to LIBRARY.
- Select Discounts.
- Click Create Discounts.
- In the DISCOUNT INFORMATION box, fill the discount name in the Discount Name part.
- In the Amount part, specify whether you want to set the rupiah amount or the discount percentage by selecting the Rupiah/Percentage button.
- Select which outlets will or will not apply the discount.
- Click Assign Outlet to save the discount.
How to Apply Taxes and Gratuity
Taxes is a page for creating and applying taxes. You can also create and apply additional fees on the Gratuity page. To determine the types and amounts of taxes and gratuity, follow these steps:
How to Apply Taxes
- In the backoffice menu, go to LIBRARY, the select Taxes.
- Click Create Tax.
- In the TAX INFORMATION section, fill in the tax name (example: VAT) and the percentage of tax.
- Click Save or Save to All Outlets.
How to Apply Gratuity
- In the backoffice menu, go to LIBRARY, then select Gratuity.
- Click Create Gratuity.
- In the GRATUITY INFORMATION section, fill in the name of the additional costs (example: Service Charge) and the percentage of gratuity.
- Click Save or Save to All Outlets.
How to Set Sales Type
Sales Type is a page to create the sales type options, such as Dine In or Take Away. Follow the steps below:
- In the backoffice menu, go to LIBRARY, then select Sales Type.
- Click Create Sales Type.
- In the SALES TYPE INFORMATION section, type the name of the sales type in the Sales Type Name field (Example: Dine In, Delivery, GoFood).
- If there are additional costs for certain sales types, fill in the ASSIGN GRATUITY section. If left blank, transactions carried out for that type of sale will not incur additional costs.
- Click Save or Save to All Outlets.
