How to Bulk Edit Items
After successfully creating items in Item Library you can also edit the items in bulk.
Please follow these steps to edit bulk items:
- Login to Moka backoffice.
- Visit menu LIBRARY.
- Select Item Library.
- Click the item that you wish to edit.
- Make the changes to the Item information.
- Click the “Update to All Outlets” button.
- Please read the confirmation pop.
- Click Confirm and editing will applied in all the outlets where the item is present.
Note: The item change is applied only for the exact same product name. Items with exact characters and spelling (not case sensitive) between two outlets are considered to be the same product i.e. “Cheesecake” in 1 in Outlet 2 is the same as “cheesecake” product in Outlet 2 even if capitalization is not the same (meaning it is not case sensitive). However “Cheese cake” in outlet 3 is different because of the different number of characters (there is a space between the words). You can make sure before edit bulk you already set the item with the same name.
Bulk Edit Items Rules
To understand how the editing will impact the items in the other outlets, please read the rules below:
- If attributes like Image, Description, Condition, Weight, Dimensions, Age group, Gender, and Base price are edited/deleted from the source outlet (outlet in which the editing is done) for a particular Item then the same attributes in the target outlets (other outlets under the same account) will also be edited/deleted following the behavior of the source outlet.
Example: If an account has 3 outlets (Outlet 1, Outlet 2, and Outlet 3) and if Description and Image are changed in Outlet 1, then Description and Image will also be changed in outlet 2 and Outlet 3. - There are few attributes (Brand, Category, Variants, Modifiers, and Sales Type) in the Item Library that are exceptions and don’t follow the above rule. Here are the explanations and scenario example for each attribute:
Brand & Category
If there is a Brand & Category change in an item, the system will first check whether the brand or category is available in the source outlet and target outlets library. When the system finds a match it will assign the brand & category to the item. However, if the system doesn’t find a matching brand/category name inside the library, it will create a new one and assign it to the specific item.
Example Scenario:
You have an account which has 3 outlets (Outlet 1, Outlet 2, and Outlet 3) and item named 'Cheesecake' is available on those three outlets. Outlet 1 (as the source outlet) has Brand/ Category 'Take Away' in the library but Outlet 2 & 3 don’t.
Action: You edit Brand/ Category 'Take Away' to item 'Cheesecake' in Outlet 1 and you click “Update to All Outlets”.
Results:
In Outlet 1: item 'Cheesecake' will have brand/ category 'Take Away'.
In Outlet 2 and Outlet 3: 'Take Away' in the Brand/ Category library will be created and be assigned to item 'Cheesecake'.
Variant
If a variant is created/edited in an item, first it will be created/edited in the source outlet. It will also check whether the exact variant name is present in the target outlets or not. If it is present in some/all outlets, then the price of that matching variant will be copied from the source outlets to the target outlets (only those outlets where the matching variant was present).
If the variant is deleted from the source outlet. It will only delete it in the source outlet and not the target outlet even if there is the same item with the same variant name.
Example Scenario:
You have an account which has 3 outlets (Outlet 1, Outlet 2, and Outlet 3) and item named 'Cheesecake' is available on those three outlets. Outlet 1 has no variant. Outlet 2 has variant 'A' with a price of 100k, and variant 'B' with a price of 100k. Outlet 3 has variant 'B' with Price 100k, variant 'C' with a price of 100k.
Action: In Outlet 1, for item 'Cheesecake' you change variant 'A' with price 200k, variant 'B' with price 200k, & variant 'C' with price 200k.
Results:
In Outlet 1: item 'Cheesecake' has variant 'A' with price 200k, variant 'B' with price 200k, & variant 'C' with price 200k.
In Outlet 2: 'Cheesecake' variant 'A' and variant 'B' change the price to 200k. (Variant 'C' is not created because Outlet 2 doesn't have variant 'C')
In Outlet 3: 'Cheesecake' has Variant 'B' and variant 'C' change the price to 200k. (Variant 'A' is not created because Outlet 3 doesn't have variant 'A')
Modifier
The modifier will be either ON or OFF in an item. Turning on modifiers in the source outlet will also turning on the same-named modifier (identical named item) in the target outlet(s).
Turning off modifiers will only affect the source outlet and not the target outlet even if there is an identical named item with the same modifiers.
Example Scenario:
You have an account which has 3 outlets (Outlet 1, Outlet 2, and Outlet 3) and item named 'Cheesecake' is available on those three outlets.
In Outlet 1 modifier A and B is not selected. Modifier C is selected.
In Outlet 2 modifier C is selected & modifier B not selected .
In Outlet 3 modifier C is selected & modifier A not selected.
Action: in Outlet 1, modifier A & B is selected and C unselected. Then “Update to All Outlets” is clicked.
Results:
In Outlet 1: modifier A and B is selected and C is unselected.
In Outlet 2: modifier B and C is selected. (C is not changed because turning off modifier will not affect the target outlets)
In Outlet 3: modifier A and C is selected. (C is not changed because turning off modifier will not affect the target outlet)
Sales Type
If a Sales Type is created/edited in an item, first it will be created/edited in the source outlet. It will also check whether the exact Sales Type is present in the target outlets or not. If it is present in some/all outlets, then the price of that matching Sales Type will be copied from the source outlets to the target outlets (only those outlets where the matching variant was present). Unselect sales type will only affect the source outlet but not in the target outlets even if the same name sales type is present.
Deleting the price in sales type will work in the source outlet and target outlets if there is an identical sales type name.
Example Scenario:
You have an account which has 3 outlets (Outlet 1, Outlet 2, and Outlet 3) and item named 'Cheesecake' is available on those three outlets.
Outlet 1 has sales types A, B, and C in the library. Only sales type C with a price of 100k is selected.
Outlet 2 has sales types A, B, and C in the library. Sales type A with a price of 100k, B with a price of 200k, C with a price of 100k is selected.
Outlet 3 has sales types A, B, and C in the library. There is no sales type is selected.
Action: in Outlet 1, sales type A with a price of 100k is selected. Sales type B is selected and the price is changed from 200 k to 100k. Sales type C is deactivated.
Results:
In Outlet 1: Sales type A and B is selected with a price of 100k. Sales type C is unselected.
In Outlet 2: Sales type A is selected with a price of 100k. Sales type B is also selected but the price will be edited to 100k (from 200k). Sales type C is selected with a price of 100k.
In Outlet 3: Sales types A, B,& C are selected with a price of 100k.
